Terms & Conditions of Manuscript Submission


An overview of the terms and conditions of manuscript submission are presented here.  During manuscript submission the corresponding author is required to sign an Open Access Contributor’s Publishing Agreement. Terms and conditions change occasionally.  The terms and conditions consented to by the corresponding author are permanently recorded for each manuscript submission.  The terms and conditions are consented to by the corresponding author on behalf of any co-authors.

Authors are responsible for verifying that they are in compliance with the terms and conditions.  Authors should read the terms and conditions in full and contact the publisher if any provision requires clarification or if they are unable or unwilling to comply with any provision.  Non-compliance with the terms and conditions of manuscript submission cannot be justified by not reading these provisions in full.

1. Understandings

a. Both the corresponding author and any co-authors are in full compliance with ethical and legal requirements outlined in these submission terms and conditions and here.

b. All submitted manuscripts except editorials are subject to peer review and editorial review.

c. SAGE Publishing reserves the right to decline to commence or to decline to continue processing any submitted manuscript at any time.

d. Unless the manuscript is published in a Clinical Medicine Reviews subscription journal then copyright in the manuscript, associated files and metadata, and published article is held by the author(s).  Copyright in articles published in Clinical Medicine Reviews journals is retained by the publisher with the exception of some open access papers published under the former Clinical Medicine Reviews open access option.  Upon acceptance for publication the authors of papers accepted for publication in Clinical Medicine Reviews journals agree to transfer copyright in the paper to the publisher.  To avoid possible misunderstandings authors of papers submitted to Clinical Medicine Reviews journals will be asked to acknowledge this following manuscript submission. Further information on copyright and the rights of authors and readers is available here.

e. Authors are responsible for compliance with funding bodies’ copyright requirements.  Authors of open access papers may optionally select a CC-BY license. If not specified, contribution will automatically default to CC-BY-NC.

f. Fee discounts, waivers, reimbursements, or refunds in full or part are given at the sole discretion of the publisher.

g. SAGE Publishing is legally obliged to ensure that journals do not publish libelous or defamatory material.  Where submitted manuscripts appear to contain this the publisher will work with authors and the journal's editorial decision-maker to find an appropriate resolution.

h. The authors agree to fully indemnify SAGE Publishing, our staff and contractors, and editors in chief and editorial board members against any liability whatsoever in connection to their actions, inactions, errors or omissions.  The authors waive all rights to take legal action against SAGE Publishing, our staff and contractors, and editors in chief and editorial board members.

i. Where the corresponding author has consented to these terms and conditions, the co-authors, if any, agree without reservation to the corresponding author consenting upon their behalf.

j. SAGE Journal authors are able to re-use their Contribution in certain circumstances without requiring permission from SAGE. It is important to check your signed Contributor Agreement and/or the submission guidelines for the journal to which you submitted your Contribution to review the journal's policy regarding author re-use.

2. Fees, Discounts and Waivers

a. Manuscripts submitted to open access journals

Manuscripts submitted to open access journals (all journals except the Clinical Medicine Reviews series) will be subject to the article processing fee stated on the applicable journal's 'About' webpage at the time that the manuscript was submitted for peer review.  If the author works in a developing country a discount may be offered immediately following submission.  All other discounts and waivers are only available when applied for and approved prior to manuscript submission.   Upon acceptance for publication by the journal’s editorial decision-maker the authors agree to assign to the publisher an exclusive license to publish the submitted manuscript.  Information on copyright and the rights of authors and readers is given here.

b. Manuscripts commissioned for open access journals

A submitted manuscript will only be considered to fit within this category where an author has been approached by the publisher and invited to write a paper on a specified topic and an explicit statement has been made in the invitation that no fee will be charged if the paper is accepted for publication (a statement must be made, not all commissioned manuscripts automatically receive a weaiver).  Clarification should be sought prior to manuscript submission if the author is uncertain about this.  Upon acceptance for publication by the journal’s editorial decision-maker the authors agree to assign to the publisher an exclusive license to publish the submitted manuscript.  Information on copyright and the rights of authors and readers is given here.

c. Special Collections manuscripts

A submitted manuscript will be considered to fit within the category where an author has been approached by a guest editor responsible for a special collection and invited to contribute a paper.  A discounted fee will be charged unless the author and guest editor have explicitly agreed that a waiver will apply.  In either case, the author will have been asked by the publisher to confirm their understanding of this and confirm their consent to it prior to submission.  Upon acceptance for publication by the journal’s editorial decision-maker the authors agree to assign to the publisher an exclusive license to publish the submitted manuscript.  Information on copyright and the rights of authors and readers is given here.

d. Manuscripts submitted to Clinical Medicine Reviews journals (including commissioned manuscripts)

All manuscripts submitted to a Clinical Medicine Reviews journal will not be subject to any article processing fee.  Upon acceptance for publication the authors agree to transfer copyright in their paper to the publisher.  Following manuscript submission authors will be asked to provide signed confirmation of their consent to this to avoid possible misunderstandings.

e. Optional fees

Fees for optional services provided by the publisher are not subject to discounts or waivers.

f. VAT
Authors resident in the UK and the EU will be subject to UK VAT unless they provide a valid EU VAT number. Authors resident in the UK will be charged UK VAT, irrespective of whether they provide a valid UK number or not.

3. Responsibilities of the Corresponding Author

a. The corresponding author is responsible for verifying that the submitted manuscript is in compliance with all relevant manuscript preparation and submission requirements and presentation guidelines and any applicable journal-specific guidelines.

b. The corresponding author is responsible for ensuring that any co-authors have authorized the corresponding author to submit the manuscript.

c. The submitted manuscript must not be under consideration for publication in another journal, nor may it have been published in another journal.

d. The corresponding author must have verified that permission has been obtained by the authors to reproduce any copyrighted material.

e. The corresponding author agrees that nothing in the submitted manuscript is unlawful, misrepresentative, libelous, plagiarous or would constitute a breach of contract or confidence or commitment to secrecy.

f. The corresponding author warrants that  due care has been taken to insure integrity of the submitted manuscript, and that according to currently accepted scientific knowledge all statements in it purporting to be facts are true.

g. The corresponding author agrees to absolve SAGE Publishing from all liability arising from any failure to obtain permission to reproduce all copyrighted material.

h. The corresponding author consents to receive email(s) from SAGE Publishing relating to the submitted manuscript.

i. The corresponding author agrees that individuals or organizations who have made substantial contributions to the manuscript (e.g., data collection, analysis, writing or editing assistance) must be named with their specific contributions in an acknowledgments section.

4. Ethical and Legal Requirements

a. Current ethical and legal requirements are given here.  These are revised from time to time to reflect current recommendations from bodies such as the Committee on Publication Ethics.  

b. All authors will be required to provide signed confirmation of their compliance with current ethical and legal requirements prior to publication.

c. SAGE Publishing will request a copy of any IRB approval and/or patient approval forms as a condition of publication.

5. Retractions, Expressions of Concern and Corrections

Where determined necessary, the Editor in Chief may publish a retraction, expression of concern or correction.  The guidelines provided by COPE will be applied to determine under what circumstances this is done.  The authors agree to waive any legal liability against SAGE Publishing, its staff and contractors, the editor in chief, and the editorial board should a retraction, expression of concern or correction be issued.

6. Authorship, Contributorship, Funding and Conflicts of Interest

Authors will be required to provide signed confirmation prior to publication that all authorship, contributorship, conflict of interest and funding information is full and accurate.  Current requirements are given here.

7. Dispute Resolution

Where a dispute arises the parties will first attempt to resolve it amongst themselves.

Any dispute arising out of or relating to this contract may be referred to mediation, a nonbinding dispute resolution process in which an independent mediator facilitates negotiation between the parties.

Mediation may be initiated by either party writing to the other party and identifying the dispute that is being suggested for mediation. The other party will either agree to proceed with mediation or agree to attend a preliminary meeting with the mediator to discuss whether mediation would be helpful in the circumstances.

Any dispute arising out of or relating to this contract, which is not resolved by mediation, shall be finally decided by arbitration.

8. Termination

SAGE Publishing, in its sole, absolute discretion, may determine that the contribution should not be published in the

journal. If the decision is made not to publish the contribution after accepting it for publication, then all rights in the

contribution granted to SAGE shall revert to the author and the terms and conditions shall be of no further force and effect. Any payment made by the author to SAGE will be refunded. In the event that payment of the applicable APC is not received by the SAGE, any agreement will be terminated.

9. Indemnification

You agree to absolve SAGE Publishing, its staff and contractors, the Editor in Chief and editorial board of any legal liability whatsoever with respect to any and all statements made in your paper, your actions, errors and omissions and the actions, errors and omissions of co-authors and any other contributors to the paper without any limitations.

10. Remedies for Breach

Where you are found to have been in breach of any of these terms and conditions SAGE Publishing may take such steps as are considered necessary to remedy the breach.  This may include publication of an expression of concern or retraction.
